2009 Capacity Building Programs

In Care Foundation’s commitment to strengthen the performance and impact of our local nonprofit community, we are pleased to announce a new slate of programs. Once again, Care Foundation has designated funds to cover between 50% and 100% of the program costs; thereby, making capacity building more affordable to you — nonprofit organizations in Benton, Carroll, Madison, and Washington counties.

There are a maximum number of participants for each program. We recommend you contact the appropriate facilitator as soon as possible to get your name on the lists they are compiling. (Please note: Program facilitators — not Care Foundation — are gathering potential participant information.) After the deadline for each program, every interested person will be notified as to whether or not they've been approved, and if so, how to proceed with registration, payment, etc. Many program deadlines are only a few weeks away, so we encourage you to act quickly.

Crafting Great Grant Budgets

Thomas-Forbes & Kester, LLC, Grants Professionals
Fayetteville Public Library
Wednesday, August 12, 10 am – noon

Targeted Audience: Development officers, executive directors, board members, and volunteers from eligible non-profits

Program Description: Crafting Great Grant Budgets is all about using your budget and budget narrative to support the compelling story for your project.

Budgets and budget narratives can make or break grant proposals. We may have a fantastic program by the best charitable organization and have a grant proposal or letter worthy of a Pulitzer, but if something in the budget rubs a reviewer the wrong way, our proposal will be tossed out in an instant. In fact, since so many reviewers read the budget first, they may never even get to our scintillating prose before rejecting our labors. But many of us expend most of our labor on the grant narrative and leave the budget to be developed by someone else or leave it until last.

In this workshop, we will focus on creating excellent budgets and budget narratives that will impress funders with their thoroughness. This includes what’s different about how you present your budgets to foundations versus government funders, especially when it comes to “institutional support” or matching funds. This workshop will teach you what funders are looking for in the budgets you are asked to submit with your proposals and how to present your budget in a way that makes sense to them. We will discuss strategic decisions about how to decide what goes into a budget and what gets left out, how to handle requests from funders for lists of your other donors or a description of sources of revenue for your project, and the wisdom of using a “three-column budget” whenever possible. You will go home with sample forms and budget checklists that you can use on your next proposal to ensure that your budget is the best it can be.

Program Goals/Objectives/Outcomes:

  1. Learning the basics of good, complete grant budgets
  2. Highlighting how budgets and narratives are integral to your grant’s story
  3. Giving grant seekers tools to develop effective proposal budgets
  4. Learning how to write strong budget narratives

Program Value: $100 per person

Program Fee: Free

Maximum number of participants: 20 individuals

Deadline to express interest: August 7, 2009

Develop Your Strategic Plan

iBossWell, Inc.
Location TBD – based on Agencies choice
This customized process will take place between March – early Sep 2009

Targeted Audience: NWA Not-for-profit organization that currently does not have a strategic plan, or has an outdated strategic plan.

Program Description: A critical process for successful business outcomes is the creation and implementation of plans.  How long have you and your board been talking about developing or updating the strategic plan – but you just don’t know where to start or don’t have the funds to hire the consultant?  Well – here’s your opportunity!  Enjoy the services of a professional strategic planning/organizational development consultant who will work with your agency to develop your own, customized strategic plan.  You will not only have a completed plan at the end of this project, you will also have a board and staff well positioned and trained to execute the plan, and a process and tool to assist in the execution.

Effective leadership guides this process through aligning all activities with the plan and providing the support and resources for their teams to successfully accomplish that plan. This takes high-level skills, including exemplary board and operational leadership, as well as keen business acumen. Developing the plan is not an easy task. Typically most organizations are much more successful at creating the plan when they have an experienced outside consultant facilitate the process.  Since such a process is not a one-day project, utilizing such outside services can be timely and expensive. This program provides the skills of an experienced consultant/facilitator, coupled with the efficiencies of a new technology for plan development and tracking that can help to make the process more efficient and thus less costly. Additionally, the planning technological tool provides follow up monitoring and performance management capabilities that are unsurpassed in the sector.

Program Goals/Objectives/Outcomes:

  • Develop a complete strategic plan for the organization, setting their roadmap for the next 3 years, and link the strategic plan with performance planning and support
  • Enhance organizational performance through streamlined, easy, accessible performance reporting and tracking (both at organizational and individual level) through use of a new web-based technology

Strategic planning process will accomplish the following:

  • Involve board and staff through a professionally facilitated, customized 5 month process
  • Consider the environment in which organization currently operates
  • Review and recommitment to the mission
  • Determination of key goals and objectives for strategic and operational direction setting
  • Identify clear performance measures for tracking achievement of goals
  • Prioritization of goals/projects
  • Develop a framework by which the board and staff can operate and be accountable in moving forward to implement the strategic plan, including training for role of board and staff in plan execution
  • Project will utilize new web-based planning documentation system that will streamline both documentation development as well as execution updates/tracking/reporting

Organization must be able to provide a computer (with internet access) and LCD projection for use at planning meetings, along with a staff member scribing planning notes (in the web-based tool) throughout the meeting. (Consultant will train staff member on use of tool; staff member must have solid MSWord and typing skills.)

Program Value: $13,000 per organization

Program Fee: $1,000 per organization

Maximum number of participants: 2 organizations

Deadline to express interest: March 1, 2009

Soderquist Center
Location will be determined with the participant
Date and Time: Coaching process will take place over a 5-month period. Exact dates will be determined with each participant.

Targeted Audience: Executive Directors

Through the Executive Coaching process, Executive Directors will gain insight into their leadership skills and tendencies through an individual assessment.  A Soderquist Center facilitator will guide in formation of a development plan, and provide guidance, support and accountability toward achieving those goals.

Program Goals/Objectives/Outcomes:

  • Assist each Executive Director in the interpretation and application of the assessment data through a one-on-one coaching session with a Soderquist Center facilitator.
  • Assist in creating or refining each leader’s Individual Development Plan to reflect prioritized goals and action steps.
  • Provide accountability and motivation for each manager through follow-up coaching session

Program Fee: $125 per person

Maximum number of participants: 6 individuals

Grantseeking 101

Thomas-Forbes & Kester, LLC, Grants Professionals
Walker Room of the Fayetteville Public Library
Thursday, April 23, 2 pm – 5 pm

Targeted Audience: Development officers, executive directors, board members, and volunteers from eligible non-profits.

Program Description: Grantseeking 101 offers a fast-paced introduction to finding and obtaining grants for nonprofits.  We will discuss how to find funders, how to read their guidelines, tips for putting together strong proposal packages, and grants budgets.

This workshop is a fast-paced, half-day introduction to the terminology, resources and processes of seeking grant funding for nonprofit organizations. Although it is most suitable to those just starting, those with some grants experience will take away tips and tricks to make their grantseeking more effective too.

We begin by introducing the concepts of grant readiness and matching organizational mission with funder priorities and interests. We then demonstrate how to evaluate a funder profile, how to read and follow funder guidelines and what to say in a grant proposal when funders don’t provide guidance.  We’ll discuss how to present goals and objectives in language funders will understand and respond to. Finally, we introduce budgets for grants – what funders like to see and don’t like to see in applicants’ grant budgets.

Attendees will leave with:

  • a sample outline for grant proposals
  • a grantseeking bibliography
  • a list of research resources
  • a grants glossary
  • sample foundation guidelines
  • handout on goals, objectives and outcomes

Program Goals/Objectives/Outcomes:

Grantseeking Academy

Cheryl L. Kester of Thomas-Forbes & Kester, LLC, Grants Professionals
Fayetteville Public Library
every  Tuesday afternoon 3 pm – 5 pm for 6 weeks:
Aug 4, Aug 11, Aug 18, Aug 25, Sep 1 and Sep 8

Targeted Audience: Development officers, executive directors, board members, and volunteers from eligible non-profits.

Program Description: Obtaining grant funds can be an excellent way to diversify fundraising income for your organization. However, successfully winning grants takes unique skills. The good news is that you can learn these skills!

More and more non-profits need to win grant funds to achieve their mission, but the skills needed to be successful at grantseeking are different from other fundraising or writing skills. If you are serious about winning grants, you need to learn more than just information that can be communicated via a PowerPoint. You need to learn and practice the skills that will help you find the right grants for your agency.

The Grantseeking Academy is an intensive, hands-on learning experience. You attend the Academy 2 hours per week over six weeks so that you have time to digest what you’re learning and begin putting it into practice back at your agency. While you learn useful information about seeking and obtaining grants, you are also receiving one-on-one mentoring from two professional grant writers. The instructors provide a thorough critique of your grant proposal in-progress, offering suggestions for improvement and guiding you to getting it into final form for submission. You will leave the Academy with a real grant proposal to a real funding agency and excellent reference materials that you can use in writing future proposals.

Program Goals/Objectives/Outcomes:

  • Develop skills and knowledge in basic terminology, research strategies, and proposal development regarding grantseeking
  • Prepare an actual funding proposal unique to your agency for submission to a real funder
  • Network with colleagues from other non-profits and discuss ways to partner or collaborate on future programs
  • Learn to focus on developing proposals that fit your mission as well as the funder’s priorities

Program Value: $500 per person

Program Fee: $50 per person

Maximum number of participants: 15 individuals

High-Impact Boards - an Efficient Method to Get There

iBossWell, Inc.
Location TBD by each participating organization
Time to be determined based on board meeting schedules of each participating organization, between February and August 2009.  Requires a commitment from board of 1.5 to 2 hour-long meeting.

Targeted Audience: Any NWA not-for-profit Board seeking to raise their impact.

Program Description: All of us in the not-for-profit sector greatly appreciate our boards, their commitment to volunteerism and their support of our organizations.  Additionally, some of the challenges with volunteerism are the “realities” that go along with it, such as:

  • Most board volunteers have a "day job' and are thus limited in the time they can give to their N4P organization;
  • Due to this limited time coupled with the distance from the organization, board members do not have all the information it would be good to have to make governing decisions and carry out their board roles in a high-impact manner.

This program can help to bring awareness and action of your board members to the next level.  We take the key responsibilities and practices of highly effective and impactful boards, put it in a self-assessment format, and then walk the board through it.  Additionally, part of the process includes developing an Action Plan for improvement in key areas, which is developed by the board themselves, through the discussion that follows the self-assessment.  The session ends with individual board members signing up (with time frames) to follow through on the actions in the plan.  The session is planned around the busy lives of your board members, as it only takes 1.5 to 2 hours – the time of a typical board meeting (sessions can typically be scheduled at a board meeting time if desired!)

Program Goals/Objectives/Outcomes:

  • Increase the impact and effectiveness of the Board of Directors through raising their understanding of the characteristics of high-impact boards, and enhancing their practices through commitment to specific actions for improvement
  • Increase understanding of the challenges facing Not for Profit Boards – relative to effectiveness & performance
  • Increase awareness of their level of impact and effectiveness through self-assessment
  • Increase their engagement and impact through the development of specific actions for improvement (including board members signing up to implement the actions)

Program Value: $2,880 per organization

Program Fee: $300 per organization

Maximum number of participants: 5 individual organizations/boards

Deadline to express interest: March 15, 2009

Intermediate Grantseeking

Thomas-Forbes & Kester, LLC, Grants Professionals
Henry Board Room of the Fayetteville Public Library
Tuesday, June 9, 10 am – 2 pm

Targeted Audience: Development officers, executive directors, board members, and volunteers from eligible non-profits who have some experience with writing grant proposals or who have received grants training similar to the Grant Seeking Academy

Program Description: Intermediate Grantseeking is designed for the nonprofit volunteer or staff person who already has experience writing grant proposals but wants to learn more. Participants are asked to bring a proposal in progress or a recently-rejected proposal to receive critiques and assistance with improving it.

For an introduction to how grants work, how to find funders to apply to, or how to begin grantseeking, please attend one of our other workshops offered this year.

We will focus on what your next steps should be once you are familiar with the basics. Topics to be discussed include:

  • How to prioritize the different funding prospects identified in your research
  • Developing a system to track upcoming deadlines
  • Improving grant proposal content and writing
  • How to create and/or obtain excellent cover letters, letters of support and memoranda of agreement
  • Building collaborations in order to compete for more grants
  • Best practices in stewarding grant awards so that you be successful when you reapply

We will spend some time in lecture, but we also have time scheduled Q & A as well as guided small group work on improving one another's current grant proposals. A key feature of this workshop is that participants are all asked to bring a copy of a proposal in progress or a recently submitted proposal that was rejected. The instructor or members offer professional, written critiques and may suggest edits of text in order to strengthen your proposal for submission. Proposal to be reviewed must be submitted in advance of the workshop in order to receive critiques in a timely manner.

The program will kick off with 1 brief phone meeting with your coach to introduce the program and set up your on-line assessment tool, followed approximately one month later (early April 2009)  with a ½-day group leadership retreat, where your private TLC results will be provided to you, along with the interpretive guidance.  Then, through early September 2009, meet with your coach 6 times to work on your development plan, growth and development, and any current leadership challenges you are facing.  Coaching sessions will be a combination of face-to-face or over the phone.  We will also run the People Styles® Inventory for further self-awareness during the second workshop in June 2009.  This additional group workshop held during the month of June to will offer further leadership training and will be scheduled to accommodate participants’ schedules.

Program Goals/Objectives/Outcomes:

  • Enhance leadership skills of nonprofit executives based on their individual needs
  • Enhance emotional intelligence through accelerated self-awareness and individual coaching
  • Enhance performance of agency through more effective leadership

Ready, Set, PLAN! Creating a Comprehensive and Easy Fundraising Plan

Bradberry & Associates; Hope Bradberry
Fayetteville Public Library, Ann Henry Board Room
March 27, 2009
9:00am to 3:00pm – Additionally, a two-hour follow-up visit will be scheduled with each participant approximately four months after training.

Targeted Audience: Development officers with less than five years experience in a small agency, or executive directors with no development staff and a small organization.

Program Description: Do you feel pulled in a million different directions and are not sure everyone in your organization knows where you are trying to go? It is time to create a fundraising plan. By creating a comprehensive and easy plan, everyone can get on board and move in the right direction. A plan also ensures that all aspects of fundraising are incorporated. During this training, you will work quickly to create a framework for the next 12 months. You will also identify your top ten prospects and what you need to do to work toward major gifts. This training is easy and fun! It will incorporate both instruction and activities so that you will leave with a plan in hand that is easy to implement and utilize.

The growth of the non-profit community in Northwest Arkansas presents a challenge to new development officers. There are few institutions across the country that offer degrees in the profession, thus people enter the field with very little knowledge on the many aspects of fundraising. Often organizations rely too heavily on "events" or other more visible methods that may not supply a good return on investment of time and resources. These methods often take time away from other methods that may have a much greater impact on the organization. Planned gifts/endowment gifts can be transformational to an agency, and some development time must be devoted to those endeavors.

This training is easy and fun! It will incorporate both instruction and activities so that you will leave with a plan in hand that is easy to implement and utilize and you will not be bored! A pre-training survey will provide a good assessment of the current situation of the participants and will allow the trainer to have some materials specifically tailored to your organization so that we can get a running start. A major goal is for you to leave with a plan that you can share with all members of your team and board and be ready to meet your financial goals!

Program Goals/Objectives/Outcomes:

  • Develop a diversified fundraising plan in an easy to follow format
  • Quickly examine annual giving, major gifts, planned gifts, and grants
  • Examine how marketing ties it all together and is integral to your success
  • Identify top 10 prospects and develop a "moves management" plan for prospects
  • Provide easy tools to participants that can be quickly implemented

Program Value: $500 per person

Program Fee: $50 per person

Maximum number of participants: 15 individuals

Stakeholder Focus Groups: A Navigational Tool for Making Organizational Decisions

Mitchell Communications Group, Blake Woolsey, director of training and facilitation
Location TBD
Approximately six weeks are needed to plan and implement the focus groups depending on the
number and size of groups as well as the complexity of the project.

Targeted Audience: Non-profits in the process of making an organizational decision in the next 12-18 months with an outcome that could impact the organization and our community significantly.

Program Description: Nearly every growing organization has a significant decision or decisions they are facing in the next 12-18 months. In the process of making such decisions, many assumptions are made without concrete knowledge, research, or benchmarking being done to guide them to the best decision possible on behalf of the organization, the people it serves and our community. In many cases, if organizations would gather original research from key stakeholder groups through focus groups, they might have a better idea of what strategies they need to implement and decisions they need to make during the next year – or the next 10 years.

This focus group opportunity is ideal for your organization if:

  • You are facing a significant decision or decisions in the next 12-18 months (i.e., hiring new staff, building a new facility, launching a capital campaign, designing a new marketing campaign, creating new programming, launching a new service, building or creating a board of directors/advisors, creating or updating your strategic plan);
  • You want to determine through a focus group what the public’s view, understanding or basic knowledge is of your organization and the services you provide or want to provide; and/or
  • You participated in Management MAP in 2006 and/or 2007 and want more assistance with the decision(s) that were vetted through the decision-making process shared.

Program Goals/Objectives/Outcomes:

  • Determine key issues and/or stakeholder groups to plan and prepare for an effective focus group(s);
  • Facilitate one or more focus groups with key stakeholders whose feedback would help guide a key decision;
  • Provide recommendations to the organization based on focus group findings to help make strategic decisions to move the organization forward.

Program Format – Five Step Process
A comprehensive approach to focus group planning, facilitation and reporting:

  • Step One – Initial Understanding and Background
Identify the focus of the study and what the client wants to learn.
  • Step Two – Statement of Purpose and Proposal
Prepare a statement of purpose based on discussions with the client and a proposal for implementation including an agenda and initial questions to ask participants.
  • Step Three – Organize the Event
During step three, we begin the process of planning the event(s). This could include but is not limited to:
    • Continue working on the set of questions to be asked during the focus group;
    • Draft a questionnaire to gather relevant data about participants;
    • Identify and invite prospective participants.
    • Confirm the date, location and timeframe with participants.
    • Arrange for food, drink and compensation for the participants.
  • Step Four – Implementation
We host and run the focus group, gathering all data requested by the client.  Two methods are used to capture discussion data: a.) recording the session; or b.) comprehensive note-taking during the session.  We also administer a questionnaire to gather relevant individual data about participants.
  • Step Five:  Observations and Recommendations

Based on all data gathered, we provide a comprehensive report including both observations and recommendations.

Program Value: $8,000 (all inclusive) per organization

Program Fee: $400 per organization

Maximum number of participants: Five (5) nonprofit organizations

  • Each organization can host no more than three (3) focus groups. In some cases, an organization may wish to host two (2) focus groups and then send a survey to a large target audience.
  • If an organization hosts more than one (1) focus group, the sessions must be on the same or similar topics.
  • There will be no more than 10-12 participants in each focus group.

True financial sustainability involves much more than writing a better grant, or finding that one product or service for which you can charge a fee. It’s also about delivering outcomes that people value in order to make their community a better place to live.

This program will focus on the transformational process used to move organizations from a charity mindset to one of sustainable investment. Each participating organization will explore and develop a sustainability plan utilizing their individual strengths, capacity to deliver, and their unique value propositions.

This program has been used successfully by over 300 organizations in the past several years, and produces a plan that:

  • Capitalizes on the unique talents and capacities of your organization

  • Becomes the cornerstone of future funding efforts

Participants will learn:

  • Why strategic plans and business plans often fall short on the single most important part: FUNDING!
  • Why emotional appeals are becoming less effective in today's funding environment, and why sustainable organizations of the future must adopt a more value-based culture
  • Why the Investment-driven model is more likely to provide sustainable funding in a tight money economy

Understanding Your Organization's Financial Risk

Bradberry & Associates; John Bradberry, CFA, Hope Bradberry, CFRE
Fayetteville Public Library, Ann Henry Board Room
April 2, 2009; 9:30 am to noon
One hour follow-up visit will be scheduled with each participant after training.

Targeted Audience: Executive Directors, Finance Committee Members, Treasurers, Directors of Development

Program Description: Are these uncertain financial times making it more difficult for you to assess your organization's financial risk? If you have an endowment, do you have a complete understanding of the performance and choices that your portfolio manager is making?

It is important that key organizational leaders have a clear understanding of financial instruments and asset allocation, so that they are able to effectively work with financial managers and evaluate their performance.  It is also important that Directors of Development have an understanding of financial language to better communicate with their donors.

Topics covered include:

  • Financial statements
  • Advisor performance statements
  • Asset allocation
  • Benchmark analysis
  • Fee structures
  • Investment policies

The facilitators will work to make a somewhat "dry" topic as fun and interactive as possible. Our  goal is to keep your eyes from "glazing over!" John Bradberry has over 20 years working in the financial world and is currently an independent trust manager. Hope Bradberry has worked as a professional development officer for over 8 years, and her bachelor's degree is in finance. They both have served on non-profit boards.

A pre-training survey will provide a good assessment of the current situation of the participants. The facilitators will also schedule a follow-up meeting at the end of the training with each organization to assess their specific situation.

Program Goals/Objectives/Outcomes:

  • Improve financial skills necessary for prudent fiduciary management
